What information we collect about you and why:
The only information we hold about you is the information you provide us. When you apply to volunteer with The Breaking of Dawn you may provide us with personal data such as your name, email, date of birth, postal address and contact number. We will retain this information on our online volunteer database and in some instances hard copies. We may also collect further personal information such as employment history, and other special categories of personal data such as disabilities, race, ethnicity, and criminal records data (including results of criminal record checks). We retain this information to maintain accurate records and contact details of volunteers, as well as assessing your suitability for volunteering with The Breaking of Dawn and to ensure our volunteering workforce reflects the communities we serve. We may also keep photographs of yourself to provide ID cards and have visual records of The Breaking of Dawn’s work and events.
How we hold your information:
We store all your information securely, we restrict access to only those who need it and we train our staff in handling the information securely. Your information will only be retained for as long as necessary. Most of your information will usually be destroyed 6 years after the end of your relationship with us, or 6 months if your application was unsuccessful. We may retain basic information such as your name, and volunteering role in order to provide any references in the future. We will not share any of the information with any third parties for marketing purposes and your information will generally only be stored within the European Economic Area or a country that has a data protection agreement with the EU.
We will use your personal information for:
- Contacting volunteers about our services or activities and events, and to assess your suitability to volunteer with us
- Complying with our legal obligations, policies and procedures
- Dealing with your enquiries and requests and responding to complaints
- To have visual records of The Breaking of Dawn’s work and events
- For administrative purposes
Undertaking due diligence that protects the organisation and/or volunteer from risk or harm
Your rights:
We do not need your consent if we use special categories of your personal information to carry out our legal obligations. In limited circumstances, we may approach you for your written consent to allow us to process certain particularly sensitive data. If we do so, we will provide you with full details of the information that we would like and the reason we need it, so that you can carefully consider whether you wish to consent. We promise that we will only communicate with you in the way you wish us to and we will always respect your privacy. You can change your mind at any time and it is quick and easy to let us know that you no longer want to volunteer or want us to delete information about you. You have the right to request the information we hold about you and ask us to update any personal information about you to make sure it is correct.
